Vou contar para vocês quais são os aplicativos de organização que têm me ajudado a superar a ânsia de bater metas, controlar tudo e, sobretudo, têm de fato me auxiliado na organização de trabalho e pessoal. Ideias não se perdem mais, anotações também não e as tarefas são feitas e finalizadas aos poucos, como deveria ser e não tudo em poucas horas como eu estava me cobrando.
Ao longo da semana passada, me empenhei em testar 3 aplicativos de organização, ou melhor, plataformas que são conhecidas e funcionam de formas diferentes: calendário do Google, Trello e Wunderlist. Durante mais ou menos dois dias, utilizei cada uma delas para sentir como e se de fato elas estavam me ajudando – percebi que um dia só de teste não seria suficiente para provar a eficiência.Foto: Google Calendar (Sofia Stipkovic)
O primeiro entre os aplicativos de organização foi o calendário do Google. Pensei comigo: que melhor lugar para marcar as minhas tarefas diárias, né? É ótimo marcar na mesma agenda onde também estão as minhas reuniões e onde as pessoas conseguem ver o que estou fazendo antes de marcar uma call! A ideia é realmente muito boa, o calendário é fácil de usar e bastante intuitivo e, à primeira vista, colocar hora pra cada projeto dá uma sensação de segurança. Tipo, “fazendo tudo isso, eu paro de trabalhar às 19h! Arrasei!“
O problema é que não, eu não arrasei. Porque essa sensação de segurança começa a ir embora a medida que o dia passa e você percebe que não consegue cumprir as metas individuais, digo, de cada tarefa – e, como dá para imaginar, muito menos dá pra cumprir a meta no final do dia. Pra mim, isso é um pesadelo. Porque esticar o tempo de um projeto te leva a atrasar o outro e assim por diante. Uma bola de neve de ansiedade que te engole com facilidade. E gente, essa é a minha visão e claro que eu me cobro muito mais do que deveria. Se eu tivesse talvez uma visão mais realista do que consigo de verdade executar em um dia de trabalho, o calendário do Google seria uma ferramenta incrível!
O melhor benefício: na minha opinião, são dois os melhores benefícios de usar o calendário do Google como plataforma de organização. Número 1: é a forma mais fácil de deixar claro aos seus colegas de trabalho quando e com o quê você está ocupada, e isso facilita muito a marcação de reuniões. Número 2: é excelente para descobrir quanto tempo você realmente leva para fazer cada tarefa do seu escopo de trabalho. O que é maravilhoso para você entender quanto vale o seu dia, a sua hora-trabalho. O Wunderlist também foi testado. Entre os aplicativos de organização, ele foi o único que precisei baixar no meu computador – explico: todos os apps citados aqui precisam do download na versão mobile, mas eu uso muito mais no desktop e calendário do Google e Trello têm versões de site.
Essa plataforma é também simples de usar e se assemelha muito ao notas que temos no celular, mas com uma diferença: ele te dá alertas de quando uma tarefa precisa ser revista ou qual é o seu prazo final para determinado projeto. Isso ajuda muito. Mas lembre-se: quem coloca os prazos é você então seja gentil consigo mesma, tá? Ao longo de 2 dias, o Wunderlist até foi de grande valia, mas honestamente eu me irritei com o fato de ser apenas um bloco de notas com deadlines e muita coisa se perdeu. Continuei sentindo que não estava de fato avançando no trabalho.
O melhor benefício: se você é daquelas pessoas que escrevem muito dentro das notas e consegue dividir bem as tarefas, de forma que elas sejam rápidas e não projetos muito longos, o Wunderlist é bem bacana. O último entre os aplicativos de organização que testei foi o Trello. Já havia trabalhado com ele em outras empresas, mas nunca como organização pessoal mesmo. A plataforma pode ser acessada online via site ou mobile – nesse caso, é preciso fazer download. Fiquei com a opção no desktop porque se eu baixasse no celular, ficaria maluca verificando meu desempenho e projetos o tempo todo. Me conheço. Ah, e de novo: o Trello, assim como o calendário do Google e o Wunderlist, é muito fácil e intuitivo de usar.
Durante 2 dias de testes, acredito que o Trello tenha sido o grande vitorioso e acho que vou seguir usando-o no dia a dia. Pois, nele consigo criar boards para os diferentes tipos de escopo que tenho e cartões para cada projeto, e ainda dentro deles é possível criar uma checklist – ou seja, uma lista a ser finalizada aos poucos e que deixa marcado na tarefa a porcentagem já entregue. Isso sim é o que chamo de segurança e paz para minha ansiedade! Além disso, dentro dos cartões você consegue adicionar comentários como um bloco de notas, diferenciar os projetos por rótulos coloridos e colocar prazos – e também ser avisado com marcações em amarelo e vermelho dependendo da urgência!
E mais: você pode fazer como eu fiz e criar um board para ideias soltas, tarefas a fazer, tarefas em processo, tarefas em aprovação e, por fim, um board de finalizadas. Durante a semana, os projetos vão andando e você sente isso ao ver quantos por cento está sendo entregue diariamente, e consegue enxergar na lista de projetos completos, o resultado do seu trabalho de segunda à sexta. Pra mim, aprovadíssimo! E há quem também use o Trello para organizar tarefas domésticas e finanças então vale mesmo dar uma chance à plataforma.
O melhor benefício: o layout que deixa muito claro a diferença entre os projetos e tarefas, e também a opção da checklist que permite criar não só um fluxo de organização específico para aquele trabalho como também deixa evidente o status dela. Então, mesmo que não esteja pronto, dá pra ver logo de cara que não está parado ou esquecido! E isso me tira muita ansiedade, sério. Sei que foram poucos os meus testes de aplicativos de organização então decidi trazer outros nomes que surgiram na minha pesquisa inicial e que talvez, se nenhum dos que mostrei te ajudem, esses podem ser a solução. Confira:
Todoist: me recomendaram muito, porém não tive a oportunidade de testar então não entrou no post com review. Mas está aqui como indicação!
Any.Do: tem a mesma ideia de criar listas e tarefas, e também apareceu entre os melhores rankeados nas minhas buscas por aplicativos de organização.
Runrun.it: já fiz uso desse organizador de processos de forma profissional. Acho excelente no âmbito de trabalho, mas talvez não seja tão eficiente para inserir tarefas pessoais.
Basecamp: no dia a dia do STL, fazemos uso dessa plataforma para organizar as pautas. É ótimo e você consegue repassar a tarefa para outras pessoas depois de finalizar o seu escopo dentro daquele projeto, mas não achei suficiente para me organizar individualmente. Sinto muita falta da checklist!
Bear: reza a lenda que ele faz a função de bloco de notas + organizador pessoal e de tarefas. Porém, não testei!
E no fim do dia, também não se esqueça que a famosa lista de papel e caneta é super eficiente, assim como os post-its na tela do computador.
